For client production, batch and stamp records, we generally act as a processor on the client's instructions under a separate data processing agreement. The client remains the controller of those records.
What we collect
- Enquiry details: name, company, work email, optional phone number, business type, message and your consent choices.
- Client business information and records supplied to run the duty desk, including products, batches, yields, production sheets, stamp movements and related contact details.
- Website usage information, only where you consent to optional analytics. Essential storage records your cookie choice.
- Business contact details obtained from public sources or B2B data providers for relevant professional outreach.
- Administrative and billing information when you become a client.
Why we use it and our legal basis
- To respond to enquiries and deliver contracted services: steps before entering into a contract or performance of a contract.
- To maintain records, invoices and comply with applicable law: legal obligation.
- To run, secure and improve our business and send relevant B2B communications with a clear opt-out: our legitimate interests, balanced against your rights.
- For optional analytics and marketing emails: your consent. You can withdraw it at any time without affecting earlier processing.
We do not use your personal information for automated decision-making or profiling that has legal or similarly significant effects.
Who receives information?
We use appropriate service providers to host, communicate and administer the service. Our editable processor list currently includes Google Workspace, Replit hosting, Stripe, email delivery providers, consent-based analytics providers. We share information only where necessary, under appropriate contractual and security arrangements. We may also disclose information if legally required or to protect our rights.
Where data is kept and transferred
Client production and stamp records are stored in the UK or EU. Some providers may process limited personal data outside the UK. Where a restricted international transfer takes place, we use an appropriate safeguard, such as the UK International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses, together with any necessary transfer assessment.
How long we keep it
Enquiries are usually retained for up to 24 months after our last meaningful contact, unless a relationship begins or a longer period is needed for a legal claim. Client records are kept for the term of the agreement and then according to the contract and applicable legal retention requirements, normally up to six years after the relationship ends. Marketing preferences are kept until you withdraw consent or we stop sending updates. Consent records may be kept as evidence of your choice. Cookie choices expire after six months.
How we protect it
We use access controls, appropriate authentication, encrypted connections, restricted staff access, backups and supplier checks. No internet service can promise absolute security, but we review controls proportionately to the sensitivity of the records we hold.
Your rights
Depending on the circumstances, you can request access to your personal data, correction, erasure, restriction of processing, data portability, or object to processing (including direct marketing). You can withdraw consent at any time. Email privacy@stamptally.co.uk to exercise a right. We may need to verify your identity before responding.
You can complain to the Information Commissioner's Office at ico.org.uk. We would welcome the chance to address your concern first.
